How does the implementation model for Mr Wolf look like?

My Wolf implementation consists in: 1. Installing Mr Wolf and 2. Implementing the automated process. Depending on your preferences, you can do it on your own or we can do it for you. At the beginning, we will implement your first process as a Proof of Concept. After the initial training, you will be able to start the subsequent processes completely by yourself.

What is the cost of Mr Wolf implementation?

What processes should I automate first?

This is the most frequently asked and the most important question from our clients. The issue seems to be simple, but an answer to this question requires a rather detailed analysis of the processes in the company. Unfortunately, our experience tells us that the first automation ideas are often misguided. Even if we start from the PoC, the process should fulfill the criteria for its automation.

What are the criteria for a process to be automated?

Functionality

What is the difference between rule-based and Machine Learning classification?

In order for text requests to be automated, they must be classified. If the classification is based on simple rules, e.g. the requests are handled in a task system which already uses labels or categories, we describe it as rule-based. If the requests all go into one place and need to be divided only by analyzing their content, we create a smart classifier using Machine Learning.

How does smart request categorization work?

In order to create a classifier for recognizing text-based requests, you need a set of historical requests with assigned categories. Generally, the more, the better. On such a basis, using text-based operations and Machine Learning, we will create a model for recognizing new requests.

What if a request is not categorized?

Each classifier has an assigned effectiveness, resulting from the data it was trained with. If the new request isn’t recognized, it often turns out that it didn’t have a representation in the training set. Therefore, the request must be added to the training set.

How does Mr Wolf’s learning process look like?

A new request which hasn’t been categorized by Mr Wolf is manually assigned to the appropriate category in the current task system. Mr Wolf automatically retrieves such requests on a regular basis and adds them to the training set. After re-generating the model, the classification’s effectiveness is enhanced with the added example.

Can Mr Wolf run RPA scripts?

Yes! In principle, Mr Wolf is used for back-end automation (API triggers, SOAP, REST, database scripts, file parsing), but we can also handle GUI automation. Mr Wolf can run RPA scripts on remote workstations.

Are there any limitations in relation to my customers’ language?

No. We have created an intelligent module which analyzes the text and detects over 30 different languages. On such a basis, we create an individual Machine Learning model for each language, which can effectively classify content into categories. In such a way, Mr Wolf can handle any language in which you receive requests.

Are there limitations in relation to the task software I'm using at the moment?

No, Mr Wolf can integrate with any request handling system. We provide native integrations for the current implementations of such popular systems as: BMC Remedy, ServiceNow or JIRA. Each subsequent integration can be carried out quickly if the tool provides an API.

What are the present native integrations?

As a result of current implementations, we have native integrations with BMC Remedy, ServiceNow and JIRA.

Is there integration with Zapier?

How to integrate Mr Wolf with API?

All operations available in Mr Wolf use REST API. In the administration panel, a token for a new integration application is generated, and the API is triggered using this token. Examples of API methods are: adding a task to a queue, retrieving statistics, planning tasks in a scheduler, task history, configuration, process logs, etc.

Which processes is it possible to automate with Mr Wolf?

In which communication channels is Mr Wolf able to work?

Mr Wolf works in channels handled by your current help desk, service desk or ticketing system. As a standalone system, it mainly works in the e-mail channel, but other sources of data might be databases, Excel files (csv, xls) or JMS queues.

Is there a mobile app for Mr Wolf?

The whole admin panel is responsive (RWD) and appropriately adapts to screens of any size. So we are not likely to implement a dedicated mobile app.

What is the duration of the agreement?

Mr Wolf licenses can be purchased for a limited period, for an indefinite period or, for a discounted price, in order to evaluate their real effectiveness. It provides the possibility to occasionally use automation e.g. during a period of increased number of requests.

Do I get access to the source code?

We are not planning to make the code available as part of the sold licenses. While there is such a possibility, changes to the code may cause complications when updating the system in the future.

What customizations can be made to the code?

Mr Wolf’s code cannot be customized, but the implemented processes can be developed.

Can I request a feature?

Of course. Our clients often have their own, specific demands. In such cases, we add new functions to Mr Wolf, such as a dedicated reporting module or integration with an unusual task system.

Does Mr Wolf have a professional services team who can assist with on-site training, implementation and/or software customizations?

Yes! We have a whole team of over a dozen people specializing in automation-related projects.

Software Maintenance

Will I receive software updates? How?

Updates are available for all users during the whole license period. In the case of cloud solutions, updates are performed automatically, and in the case of on-premises implementation, the update files are provided to the entity maintaining the system.

What kind of support does Mr Wolf offer?

We offer support both for Mr Wolf (providing patches, maintaining the tool) and the implemented processes (developed process maintenance service).

What are the SLA levels?

We have experience in various models, from very basic to very rigorous 24/7 ones. SLA conditions are negotiated individually, depending on your needs.

Does Mr Wolf work only as a cloud solution?

No. The tool can be easily deployed both in on-premises and cloud infrastructure. Remember about GDPR obligations, as you may use Mr Wolf to process personal data.

Can Mr Wolf team employees carry out maintenance?

Maintenance can be carried out both by our team and your internal IT department. We have considerable experience in the field, handling requests from several million end customers of our clients.

What is GDPR, and what is Mr Wolf doing to comply?

GDPR is the General Data Protection Regulation – a regulation in EU law on data protection and privacy for all individuals within the European Union (EU) and the European Economic Area (EEA). We made an effort to ensure GDPR compliance already at the stage of designing Mr Wolf.

Does Mr Wolf process personal data?

Mr Wolf is mostly text-based. Text can contain various types of personal or sensitive data. We know that agreeing on formalities related to consent to personal data processing is time-consuming, so we often manage to avoid accessing sensitive data. Ask us for details.

Can Mr Wolf assist my company with responding to an Individual Rights Request (Subject Access Request)?

Yes. It is one of the processes which Mr Wolf can automate.

Where does Mr Wolf store and send my data?

Wherever you want it to be implemented – on your servers or in the cloud.

Do you offer your customers a Data Processing Addendum?

There is no such need. Since Mr Wolf runs on your infrastructure (cloud or on-premise), it is not a personal data processing entity, but a tool which you use. If you use the cloud, you will have to sign a DPA with your provider.

How does MR Wolf secure my data?

We make all efforts to ensure that your data is as safe as possible. Communication is carried out using a safe SSL protocol. Users log in using LDAP accounts and have roles which restrict their operations in the system. A PostgreSQL database is network isolated from the rest of the IT infrastructure.
